Equipment Maintenance Planner

Location: Hackensack, NJ

The Planner’s primary role is to develop job plans and process work orders for equipment maintenance and repairs.  They provide a link in the management process, being responsible for the proactive portion of maintenance.  The role assists the organization in achieving effective asset performance through the systemic application of planning and data management.


  • High School or Vocational School Diploma or GED required. 

  • Overall knowledge of MS Office. 

  • Previous experience with equipment maintenance planning or heavy equipment repair preferred. 

  • Previous experience with computerized maintenance management system preferred. 


  • Develop job plans and process work orders for equipment maintenance and repairs, including identification of job steps and responsibility of materials management and resource allocation. 

  • Identify, plan and prepare future activities. 

  • Enter, maintain and review equipment data, operation manuals, procedures and parts inventory in a computerized management system (CMMS).  

  • Review all incoming work requests, consult with requestor, Supervisor and determine best way to complete work in a productive manner. 

  • Compute job costs, coordinate the ordering of parts, equipment and update system for Scheduler. 

  • Develop and maintain procedures for maintenance and repairs as required by the OEM manuals. 

  • Develop and maintain workflow requirements. 

  • Prepare job plans and Bill of Materials for non-emergency work. 

  • Maintain current daily logs, preventive maintenance records and repair files in order to comply with state and federal requirements. 

  • Develop, maintain, and report on key performance indicators (KPI’s) relevant to the planning process, such as schedule compliance, planning accuracy, backlog aging, and budgetary compliance.  

  • Maintain master data sheet on standard operating procedures.  

  • Optimize the preventative maintenance program by evaluating task lists, part requirements, and frequencies, with input from maintenance mechanics and supervisors.  

  • Coordinate the outsourcing of repairs with Shop Leaders according to set thresholds. 

  • Perform duties of Scheduler if/when required.
